We are looking for a motivated, energetic Executive Assistant and Office Manager for our Oxford office. Our ideal candidate will thrive in a busy, often challenging environment, with the ability to take responsibility for both office and team management.
You’ll be a skilled people person and a fantastic communicator, building strong relationships with staff, stakeholders and clients. This is an involved role, supporting the COO and a Senior Partner with every aspect of running their working weeks. In this setting with Office Management responsibilities, there will also be a chance to help with operations in HR and client services. You will be instrumental in a range of activities such as budget support and ensuring that a busy office runs smoothly.
This is the perfect role for a diligent individual, fast learner and problem solver willing to be at the centre of a busy and successful start-up. As this is a rapidly growing company you must have a flexible and hardworking nature and want to carve out a career. You will be working directly with the CEO and generally with the broader team. Your core duties will include booking and coordinating meetings, processing expenses, inbox management, diary management and some personal PA duties.
- Preparing financial statements, reports, memos, invoices letters, and other documents.
- Handling basic bookkeeping tasks.
- Filing and retrieving corporate records, documents, and reports.
- Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
- Accurately recording minutes from meetings.
- Using various software, including word processing, spreadsheets, databases, presentation software, CRM software.
- Reading and analysing incoming memos, submissions, and distributing them as needed.
- Making travel arrangements for the team.
- Performing office duties that include ordering supplies and managing a records database.
- Experience as a virtual assistant.
- Opening, sorting and distributing incoming letters, emails, and other correspondence.
- Provide general administrative support.
- Proven experience as an Office Manager, preferably in an agency setting.
- A passion for tech and e-commerce.
- A creative problem solver, not afraid to make improvements or think outside the box.
- Excellent organisational and time management skills, with great attention to detail.
- A skilled communicator and speaker, comfortable talking to clients, stakeholders and staff on a daily basis.
- A proactive, can-do attitude, able to adapt and learn in a fast-growing business.
- Capable of managing big projects (such as office moves or corporate events) as well as the day-to-day office admin.
- Experience with event management, HR, finance and IT.
- Proficiency with Jira or other project management tools.
